Commercial Cleaning - Oversight

The Challenge

A commercial cleaning company nearly 130 office buildings that they clean on a weekly basis with 10 crews moving from building to building each day and night 6 days a week. Some of the crews rotate through a majority of the buildings and some are dedicated to only a few buildings. Turnover amongst crew members is high and a fair amount of time is devoted to training new crew members about the unique cleaning specifications of each of the buildings and clients.

The cleaning company’s goals were:

  • To accurately account for the time that each crew arrived and left each building to determine not only attendance but also the accuracy of the cost estimates and charges for each building being cleaned.
  • To give workers instructions about what tasks needed to be performed at each location within each building and the expected time that each task would take to perform.
  • To provide workers with a guide to their building to building route on a per shift basis.
  • To give workers an interface where they can log incidents and out of the ordinary situations that required additional work effort or requires a special crew to be dispatched to address.

Sparrow's Solution

  • Each of the buildings being cleaned and each of the specific areas of each building to be cleaned are entered into Sparrow’s secure online administration database as a Job Site and a corresponding unique Sparrow Job Site QR Code marker is generated. These markers are printed to Avery labels and affixed (in appropriate locations) at each building and cleaning area.
  • Each marker – when scanned – provides the crew leader information about the task that needs performed, the expected time required to complete that task and where the next marker car be located.
  • Because the company elected to add the “Notes” feature to their Sparrow implementation, when a marker is scanned, workers can add notes about the space that management needs to be aware of and those notes are stored in Sparrow’s secure online database.

ROI & Benefits

  • Each scan of a Sparrow QR Code marker is logged in real-time. The identity of the crew leader, the Job Site they are at and the unique area within that Job Site are logged to Sparrow’s secure online database at the moment that the scan of the marker is performed.
  • This information provides management with time and attendance information, information about the amount of time required to clean each unique area at each building and throughout the shift, the amount of time required to travel from building to building.
  • Each marker scanned has a description of the tasks to be performed, the time expected to complete and where the next marker is located. These customer expectations are communicated by the crew leader to their crew members thereby minimizing the time required to become with the unique particulars of each area being cleaned.
  • With the addition of the “Notes” feature, each time a marker is scanned, the registered Sparrow Viewer seeing that marker can leave a comment that is amended to the scan log for that marker at that time by that viewer – this provides management with incident reporting and special crew dispatch requests along with a trackable log of how often those events occur.
